Ecologic governance review 2008
From Ecologic
A place to organize the new governance structure for Ecologic, and draft new bylaws / constitution.
Ecologic's old constitution may prove useful throughout this process. This governance review will culminate in a new Ecologic constitution.

[edit] Thoughts on officers
- Need some non-authoritarian-sounding name to call the officers (think "executive board" only less formal)
- Officers' job descriptions should only deal with keeping the club running, not actually doing projects
- In the style of the Westminster parliamentary system: "a parliament which can be dissolved and elections called at any time."
- Kind of crazy, but I think it's awesome, and it encourages rule-by-the-people
- Concept of having "core" officers who are in the constitution, and others that can be appointed or voted on depending on needs or whatever
- Full disclosure: All the above are my ideas. -Frank 12:23, 29 May 2008 (EDT)
[edit] Officers' job descriptions
[edit] President
- (General leadership)
- Represents Ecologic at official events or official correspondences
[edit] Vice President
- Keeps the other officers in line (just kidding, sort of)
[edit] Treasurer
- Leads the officers and club to develop the next year's budget
- Performs proofreading of the budget, and submits it to the Union
[edit] Secretary
- Takes meeting minutes for each official meeting, or delegates the taking of minutes
- Keeps a record of those members attending each official meeting, or delegates the taking of attendance
- Compiles a list of members eligible to vote, for those times when official votes are necessary
[edit] Thoughts on meetings
From Sam Harrington:
- Meeting leadership would be hierarchical- every week someone different would lead the meeting
- The meetings would have the same structure every week, so leading a meeting would be a very easy, non-intimidating job
- Still maintain the traditional leadership roles like President, Treasurer, and Secretary (meeting minutes).
- Proposed 1 hour meeting format divided into minutes. It would be the meeting leader's job to try to keep people reasonably on schedule.
- Icebreaker (5 mins): Leader asks people to go around in a circle and say their name and an icebreaker question. This could be something basic like “what's your major?” or something random and funny.
- Updates (5 mins): Go around the room and anyone who has some news to announce to the club can briefly make announcements. These announcements could be new progress made on EcoLogic projects/events, or new relevant news from RPI, the community or the world.
- Lesson/Activity (15 mins): Leader prepares some sort of short educational activity. This could mean bringing in an insightful guest speaker, personally teaching the club something you are passionate about, organizing some sort of interactive fun lesson, or just bring a link to a cool and relevant youtube video.
- Breakout (25 mins): Club breaks up into several task forces to work on club projects and priorities. These groups could include: events, energy, waste, etc. New groups can be formed as needed. If the task forces need more than the allotted 25 minutes, they can pick a mutually agreeable meeting time later in the week (or right after the end of the hour meeting).
- Recap (10 mins): Task forces come back together. A member from each task force briefly tells the club what they decided, what they are doing, and what help they need. Any upcoming EcoLogic or related events are announced by whoever knows about them. A group leader for the next week is picked. Hopefully people will volunteer, but people who regularly attend meetings and have never lead will be lightly peer pressured.
